We are looking for a Department Manager to lead our Property and Commercial team and to join the firm’s practice management team.

We are an all-service law firm with specialist departments in each of the main areas of law, each headed by a department manager. Each department has support paralegals, graduates, lawyers, and senior associates. Legal Practice Director Jeff Garrett is also part of the team and brings a wealth of experience to the Property and Commercial department.

Rather than having secretaries, we have a centralised administration pool that handles requests in a timely manner. We use LEAP as our practice management system, have a paperless electronic practice, and excellent IT support and facilities. The Department Manager role is an integral part of the fabric of our practice and our office systems. The Department Managers are the conduits for incoming enquiries in their area and are responsible for qualifying potential clients before arranging an appointment with one of our lawyers. The role includes all issues related to client services and the client’s overall experience with our firm.

The successful candidate will become an integral member of the Property and Commercial team and service our large existing client base, as well as matters from our referrers. The role requires experience assisting in residential conveyancing matters, although assistance will also be required with some business and commercial matters. Experience in both QLD and NSW would be advantageous.

The Role

As a Department Manager in Property and Commercial, you will assist with client enquiries and provide support across various areas, including residential purchase and sales, off-the-plan, commercial transactions, retail and commercial leasing, and other business and commercial matters in QLD & NSW.

The role is an excellent opportunity to work closely with our clients and our team members to assist them through their transactions. We are looking for a candidate with client services and Property and Commercial experience who is capable of taking on a management role in our practice.

The role requires:

  • Taking incoming enquiries and calls across a range of property and commercial matters
  • Booking appointments and diary management
  • Qualifying enquiries in line with our processes and procedures
  • Opening files, data entry & drafting initial correspondence
  • Reporting to the management team
  • Assisting in managing files in terms of monitoring/actioning tasks, preparing costs agreements, monitoring fee estimates and other compliance requirements
  • General legal support in a range of proprty and commercial matters
  • Assisting with templates and automation
  • Distribution and marketing assistance for the department
  • Providing support and exceptional service to all staff and our clients

Desirable Attributes

  • Experience in QLD and NSW property transactions
  • Experience in client services or sales
  • Experience or interest in leading a team
  • Exceptional organisational skills and time management
  • A passion to help people
  • Well-spoken, articulate and a friendly, empathetic disposition
  • Attention to detail, spelling, grammar, punctuation, and vocabulary must be excellent
  • Positive/enthusiastic approach and must show initiative
  • Coordination, scheduling, and monitoring skills
  • Ability to prioritise competing tasks
  • Ability to work in a team environment
  • Tech-savvy with advanced computer skills
  • Experience using LEAP and CRM systems (preferred but not essential)
