An opportunity has become available for a capable and detail-oriented Personal Assistant / Medical Assistant to join a highly regarded private specialist clinic led by Dr Dan Bates, Sports and Exercise Physician. This role also supports the clinic’s Operations Manager and is ideal for those who thrive in a professional healthcare environment that embraces technology and innovation.

About the Role

This unique multifaceted position offers variety, autonomy, and the opportunity to contribute meaningfully to both clinical and operational excellence. Working closely with senior leadership, you will play a central role in supporting daily operations, enhancing communication, and assisting the clinic’s transition toward AI-integrated systems.

Key responsibilities include:

- Providing high-level administrative and personal support to Dr Dan Bates and the Operations Manager.

- Managing medico-legal correspondence and requests from external stakeholders.

- Coordinating and producing digital content, marketing posts, and professional communications.

- Supporting the integration of AI tools and technologies across clinic operations.

- Managing clinical correspondence and ensuring accurate and timely communication.

- Assisting with debt collection and other administrative functions.

- Theatre list management.

The ideal candidate is organised, calm under pressure, and comfortable working within a dynamic specialist practice. You are adaptable, proactive, and have a keen interest in healthcare innovation.

Location

Based at our specialist clinic in Balwyn, Melbourne (Hawthorn in mid 2026) with occasional involvement in activities at our affiliated private hospital.
