About this Role
Reporting to our Head of Business Operations, you will work closely to support internal and external stakeholders, along with all teammembers across all Baidam offices nationally. We are looking for an enthusiastic and reliable administrator, with previous experience in this function, customer service or similar support roles. This position suits someone with strong organisational and time management skills, and an exceptional level of attention to detail. You will be comfortable learning new systems and processes, confident working with a range of stakeholders, and enjoy being a friendly, approachable support.

• Acting as the day-to-day point of contact for teams across all Baidam offices.
• Supporting team members with general administrative needs and ad hocrequests.

• Organising team events, off-sites, staff celebrations, client functions and managing the national
Baidam calendar and office communications.
• Ensuring new starters are set up for success from Day 1, including workstations, building access, introductions and office tours.

• Maintaining accurate, up-to-date records, registers and filing systems.

• Raising capacity, role clarity or resourcing concerns early, before issues escalate.

• Maintaining a tidy, well-stocked and presentation-ready office, including meeting rooms, kitchens and shared spaces.
• Managing office stock and supplies, including stationery and consumables, and ordering through approved suppliers (e.g. Officeworks, Waddi Water).
• Liaising with building management, cleaners and external suppliers and following actions
through to completion.
• Coordinating ad hoc courier bookings as required.

• Greeting every visitor, team member and call warmly and professionally.
• Managing visitor sign-in, access passes and safety registers (first aid and fire warden).
• Ensuring guests are signed in, supported andcomfortable from the moment they arrive.
• Creating a polished, welcoming front-of-house experience that reflects who Baidam is.
• Offering proactive support to anyone who appears unsure or needs assistance.
• Being approachable to all team members, regardless of role or seniority.
CHALLENGE: Delivering accuracy, quality and exceptional service every time
• Demonstrating care and attention to detail in every task.
• Maintaining high-quality, accurate data across internal systems (CRM, HR, finance, travel,
procurement).
• Coordinating business card artwork with Marketing and arranging printing through Kulbardi.
• Administering the Softphone system and managing “All Other Matters” via the Baidam 1300
number.
• Using Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint) to an intermediate–
advanced level, including AI tools to improve efficiency.
• Identifying and implementing small, practical improvements to office and administrative
processes.
• Maintaining current SOPs, checklists and how-to guides with regular review.
• Supporting insurance documentation and compliance deadlines.
EDUCATE: Building knowledge, confidence and shared understanding across the workplace
• Developing and maintaining clear office guides, checklists and “how-to” resources for common
processes.
• Supporting new starters and team members to understand systems, tools and ways of working.
• Sharing knowledge openly andhelping others navigate processes confidently and independently.
• Continuously learning and applying improvements to ways of working, tools and systems.
• Supporting a culture where questions are welcomed and learning is encouraged.
