Berth is a leading private obstetrics, gynaecology and women's health practice in central Geelong, located between St John of God Hospital and Ryrie Street. Our team of specialists, women's health GPs, midwives and childbirth educators provides comprehensive, evidence-based care across pregnancy, birth, postpartum and gynaecology.

We're looking for an experienced Practice Manager to lead the day-to-day operations of the practice and help shape its next phase of growth. Reporting to the directors, you'll lead our administration and reception team, work closely with our clinicians, and take ownership of the systems, processes and culture that underpin a busy specialist practice.
This is a hands-on leadership role suited to someone who enjoys both the detail of running a busy practice and the bigger-picture work of improving processes, growing capacity and building a great workplace. You'll have genuine autonomy to run the operational side of the business.
Key responsibilities
- Operations and patient experience. Oversee the smooth, day-to-day running of the practice, including scheduling, room utilisation, supplies, equipment and supplier relationships. Ensure every patient interaction reflects the warmth and standard of care Berth is known for.
- People leadership. Lead, support and develop the administration and reception team. Roster, recruit, onboard and manage performance, and cultivate a supportive team environment, including equipping staff to handle the emotionally sensitive nature of women's health work with care.
- Clinician partnership. Work alongside the specialists and GPs who practise from Berth, and our practice midwives, to ensure their clinics run smoothly and they have the administrative support they need.
- Billing and revenue cycle. Oversee specialist billing including Medicare, private health fund claiming, maternity billing, and itemised gynaecology and surgical billing. Ensure patients receive clear, accurate Informed Financial Consent ahead of procedures, and manage debtors and claim follow-up.
- Finance administration. Day-to-day liaison with our external bookkeeper and accountant. Oversight of payroll coordination, accounts and financial record-keeping, with regular reporting to the directors.
- Systems and technology. Confident first-line ownership of the practice's everyday technology, including Gentu, Best Practice and the associated hardware and software. Able to troubleshoot common issues, manage minor IT and facilities problems, and coordinate external IT support or trades when needed.
- Compliance and quality. Maintain accreditation and adherence to NSQHS Standards, privacy legislation, WHS requirements and the practice's clinical governance framework. Keep policies, procedures and business continuity plans current.
- Growth and improvement. Identify and implement improvements to systems, workflows and patient experience. Work with the directors on operational KPIs and on initiatives that support the practice's continued growth.
About you
- Experience as a Practice Manager or senior administrator in a private medical practice is highly desired. Experience in a specialist setting such as obstetrics, gynaecology or surgical highly regarded.
- Strong working knowledge of the Medicare Benefits Schedule, specialist billing codes, claiming and private health fund processes is highly regarded.
- Experience with Gentu and/or Best Practice highly regarded; comfort picking up new systems essential.
- Strong people leader who can support, develop and get the best out of a small administrative team.
- Excellent organisational skills and the composure to manage competing priorities in a busy clinical environment, including the unpredictability of obstetrics, where emergency deliveries can reshape a clinic day at short notice.
