Job DescriptionFacilities CoordinatorCompany: BGIS Location: Williamtown, NSW Employment Type: Permanent Full Time (Onsite) We are seeking a proactive and highly organised Facilities Coordinator to support the delivery of integrated facilities services across our site/s. This role is the first point of contact for clients, tenants, subcontractors and internal stakeholders, ensuring maintenance requests and operational requirements are managed efficiently and professionally. Key Responsibilities
- Serve as first point of contact for the management office and stakeholders
- Coordinate, delegate and monitor preventative and reactive maintenance requests
- Manage and maintain the CMMS, ensuring accurate work order tracking and reporting
- Allocate and follow up on tasks to meet KPIs and contractual obligations
- Support the Contract and Facilities Managers with daily operational activities
- Review invoices, maintain purchase order registers and assist with budget tracking
- Coordinate service contracts, statutory maintenance and contractor compliance
- Conduct site inspections of plant, equipment and essential services
- Maintain reporting, documentation and compliance with WHS and quality systems
- Manage after-hours on-call arrangements to ensure continuous coverage
- Respond promptly to client enquiries and provide high-quality customer service
Essential Skills & Experience
- Must be proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong customer service experience with excellent communication skills
- Proven experience in facilities coordination or property services
- Highly organised with strong time management and attention to detail
- Experience using CMMS systems (desirable)
- Ability to manage multiple priorities in a fast-paced environment
- Strong understanding of WHS compliance and contractor management
