In this role, you’ll support the Service Manager and broader team by coordinating service activities, maintaining accurate records, and ensuring smooth day-to-day operations. This position is essential to maintaining seamless service delivery, ensuring jobs are scheduled, tracked, and completed accurately and on time. - Coordinating service technicians and assisting with scheduling and job allocation
- Monitoring job progress and updating service management systems
- Liaising with technicians, subcontractors, and internal teams to ensure smooth workflow
- Maintaining accurate service records, job data, and customer information
- Preparing reports, job sheets, and documentation
- Responding to customer enquiries via phone and email
- Supporting invoicing and billing processes
- Tracking performance against KPIs and SLAs
- Providing general administrative and operational support
Your Skills, Experience & Attributes
- Previous experience in administration or service coordination (preferably within a trade or service-based environment)
- Strong Microsoft Office skills and ability to learn new systems
- Excellent written and verbal communication skills
- High attention to detail and strong organisational skills
- Ability to manage multiple priorities in a fast-paced environment
- Professional phone manner and customer service skills
- Proactive, positive attitude with a team-first approach
- Experience scheduling field technicians or service staff (desirable)
- Exposure to SLA/KPI-driven environments (desirable)
- Experience within HVAC, mechanical, or trade services (desirable)
- Full working rights in Australia (essential)
