The Department of Justice and Community Safety is seeking a Records Coordinator to provide a critical role at Western Plains Correctional Centre. About The Business Unit Western Plains Correctional Centre is a modern, maximum-security prison focussed on rehabilitation, housing up to 1248 people in custody. Western Plains features multi-purpose infrastructure which is adaptable to the evolving needs of Corrections Victoria and the people in our care. Modern amenities include medical wards, a cultural centre, and vocational training facilities. Western Plains provides a holistic, multidisciplinary approach to individualised care which motivates, encourages and promotes reintegration into the community. Western Plains has advanced technology which improves security, streamlines operations and enhances connections for the people in our care. Western Plains operates with three primary service teams: Workforce and Prison Services, Communities, and Safety and Operational Service which collaboratively deliver comprehensive services for people in our care, safety management, and corporate services. Through its innovative design and service model, Western Plains aims to create a thriving environment conducive to safety and positive behavioural change. This role is part of the Workforce and Prison Services (WPS) team, a team dedicated to delivering essential corporate and ancillary services support to prison operational teams and prisoners. Leveraging the technical ability and professional expertise of trained subject matter experts, the team supports the smooth functioning of prison operations while prioritising prisoner rehabilitation and safety. About The Role The Records Coordinator applies a customer service approach and technical expertise to ensure the compliant, efficient, and client focussed delivery of prison records across the Western Plains Correctional Centre. The Records team fall a part of the broader Client Services team designed to support the centre in the several service areas. Service areas include:
- prisoner property
- prisoner finance
- gatehouse customer service
- operational logistics
- prisoner records
- prison internal transport
The Records Coordinator will work in a small team, responding directly to general staff and prisoner enquiries across their service area in an efficient, effective and customer focused manner to deliver timely, accurate and reliable support to the centre. This is a hands-on role that will require you to apply your strong organisational skills with an ability to prioritise and manage workloads; work productively under minimal supervision; and provide exceptional customer service to the people in our care, staff and visitors to the centre. The Records coordinator also supports the Supervisor, Client Services in the development of continuous improvement actions to ensure that prison services continue to compliment and underpin custodial operations at the centre. This position will require the direct contact with the people in our care at Western Plains and may involve weekend, morning and afternoon shift work as well as public holiday work, remunerated in accordance with the applicable provision of the Victorian Public Service Enterprise Agreement 2024. Given the nature of the position, being a customer-facing role within the facility, you will be required to work on-site, with no working from home capacity. Some Of Your Duties Will Include
- Ensure all procedures and processes relevant to the Records team are compliant with legislative and organisational requirements including undertaking regular audits of operations and oversee accurate investigations of non-compliances managing the implementation of remedial actions.
- Provide accurate and timely advice to the supervisor, staff, prisoners, clients and stakeholders in relation to Prisoner Records deliverables.
- Liaise and maintain effective and professional communication channels with all prison staff, Corrections Victoria personnel, suppliers, clients and various stakeholders.
- Supports the Supervisor, Client Services in the review of procedures and contribute to the development of continuous improvement actions.
- Build, model and support a positive and inclusive culture in the Client Services team, addressing behaviours that do not align with departmental values.

- Exceptional computer skills with the ability to design electronic tools to gain efficiencies in processes, providing more accurate data and reducing duplication, including use of all Microsoft office applications.
- Knowledge and experience in the use of E-Justice and PIMS would be beneficial.
