Are you a highly organised administrator with a keen eye for detail and a passion for property and finance? We are looking for a Lease Administrator to play a critical role in supporting the management of our property portfolio through accurate lease administration, financial reporting, compliance monitoring, and stakeholder support.
This is an excellent opportunity for someone with experience in lease administration, property management, finance, or commercial property operations who enjoys working with data, systems, and processes to ensure everything runs smoothly behind the scenes.
About the role
Reporting to the General Manager Property, you will manage lease, rent, outgoings, insurance, and compliance administration across a diverse property portfolio. Working closely with Property Managers and Finance, you will ensure lease information is accurate, financial obligations are met, reporting is timely, and portfolio records are maintained to a high standard.
Key responsibilitiesLease & property administration

Maintain lease records, documentation, and property information within Prolease Express

Manage lease renewals, variations, ownership changes, and critical lease dates

Maintain lease registers, schedules, and portfolio records
Financial administration

Generate and reconcile rental invoices, CPI increases, and rent adjustments

Process outgoing invoices, reconciliations, and annual audits

Support budgeting, forecasting, financial reporting, and IFRS16 compliance
Compliance & stakeholder support

Monitor critical lease obligations and compliance requirements

Manage insurance records and Certificates of Currency

Provide support to Property Managers and Finance on lease and property-related matters
About you
To be successful in this role, you will bring:

Experience in lease administration, property administration, commercial property operations, or a similar role
-
Strong understanding of lease management, rent reviews, outgoings, budgeting, and lease compliance (including IFRS16)

Excellent financial reconciliation and reporting skills
-
High attention to detail and accuracy when managing financial and lease data
-
Strong organisational skills with the ability to manage multiple priorities and deadlines

Proficiency in Microsoft Office, particularly Excel, Word, and SharePoint.

Experience using property management systems, ideally Prolease Express and Legal Eagle
-
Strong communication and stakeholder management skills
-
The ability to work both independently and collaboratively within a team environment
