Position Summary
The Volunteers and Capacity Building Coordinator will ensure the successful delivery of two essential programs within the Brisbane Festival: the Volunteers Program and the Capacity Building Program. This role is crucial for engaging and growing the Festival’s committed volunteer community, providing opportunities for volunteers to gain experience in the events industry, contribute meaningfully to the arts community, and connect with like-minded individuals.
The role will begin in early July 2025, operating part-time until August, then transitioning to full-time until early October, before returning to part-time until mid-October 2025.
Roles and Responsibilities
With support from the Production Coordinator, you will:
- Oversee the Brisbane Festival Volunteer Program and Capacity Building Program, including database and system management.
- Ensure all Volunteers and Capacity Building candidates are inducted to the Festival, including Work Health and Safety (WHS) policies.
- Collaborate with Festival departments to engage Volunteers and Capacity Building candidates in suitable tasks, ensuring they are supported and supervised.
- Maintain high communication with Volunteers and Capacity Building candidates.
- Monitor shift attendance and make necessary adjustments.
- Assist in training delivery, including preparing induction packs for Volunteers.
- Supervise and manage Volunteers and Capacity Building candidates both in the office and on-site.
- Serve as the first point of contact for the programs internally and externally.
- Acknowledge volunteers' contributions and provide certificates of participation.
- Prepare a survey for volunteers and staff to gauge satisfaction and areas for improvement.
- Summarize outcomes of the Volunteer Program and recommend improvements.
- Complete all reporting post-Festival as required by stakeholders.
Systems
You will utilize organization-wide systems in accordance with provided policies and procedures.
WHS
You will actively implement Brisbane Festival’s WHS policy.
Relevant Experience
Essential
- Ability to process rapidly changing information and reprioritize tasks in a high-pressure environment.
- Demonstrated data management skills using databases or spreadsheet software.
- Experience engaging, coordinating, and motivating 150+ volunteers.
- High level of confidence in communication and directing groups.
- Commitment to getting the job done with a positive and flexible approach.
Desirable
- Experience in delivering a volunteer program.
- Interest in the arts and creative industries.
- Experience in a Front of House role is highly regarded.
