We're searching for a skilled Administrative Officer to provide essential support and ensure our operations run smoothly. If you thrive in a fast-paced environment and have a passion for providing effective and efficient administrative services, we want to hear from you. About The Role

  • Provide excellent customer focus in a friendly and helpful manner. Maintain the ability to communicate clearly and confidently with parents, patients, members of the public and departmental staff both in person and over the telephone.
  • Provide high quality confidential secretarial and general administrative support to the Allergy and Immunology Department, Division of Medicine, including Nurse Manager.
  • Provide confidential and personal support to staff.
  • Perform data collection and data entry requirements as directed.
  • Proficiently complete functions associated with the bookings for appointments, managing appointment cancellations, and rescheduling using the relevant information systems in a timely manner.
  • Using clinical computer systems to record all demographic and Medicare details (e.g. HBCIS, ESM, POWERCHART) ensuring high quality data.
  • Perform accurate typing in an acute health care environment.
  • Exercise judgement when necessary to solve immediate problems in situations where precedents have not been set and procedures are not defined.
  • Work autonomously or with limited supervision, utilising discretion in the absence of decision makers by establishing work priorities, achieving work targets, contributing to team goals in a changing environment and solve immediate problems in situations where precedents have not been set and procedures not defined.
  • Prepare and distribute agendas for meetings, book conference rooms, facilities and equipment and take accurate and thorough minutes during meetings.
  • Establish, review and maintain an effective office record system in conjunction with other administrative staff within the unit/department of confidential documents, papers, internal correspondence, medical reports and manage computerised data.
  • Participate in the development, implementation, review and maintenance of internal systems, processes and work practices.
  • Provide a positive role model and demonstrate understanding and consideration for team members.
  • Project a positive image for Queensland Health and CHQ and respect its high professional and ethical standards.
  • You will also be directed to carry out incidental and peripheral tasks in addition to those outlined above, and which fall within the scope of your skills and experience.
