Client Support Advisor (Casual)
Job Description
Posted on: August 8, 2025
About Us
Evolve Wellbeing Psychology is a respected, independent psychology practice based in Cleveland, supporting the Redlands and Greater Brisbane community for over a decade. Operating from our nature-themed clinic, our values-led practice provides mental health services through a team of dedicated psychologists and psychotherapists and a strong client support team.
We’re looking for a warm, detail-oriented and capable Client Support Advisor to join our front-of-house team. This casual position is ideal for someone with healthcare administration experience who is confident, compassionate and looking to contribute meaningfully in a client-facing role.
About the Role – Client Support Advisor
This role forms part of our small but highly valued Client Support Team and is essential in ensuring a smooth experience for clients, clinicians, and referrers. You’ll be the first point of contact for many of our clients—handling enquiries, managing appointments, supporting clinicians, and keeping things running smoothly behind the scenes.
You’ll work closely with our Practice Manager, New Client Coordinator, and clinical team. This position is casual, with variable hours between 3 and 20 hours per week across the year (average of around 6 hours per week). Flexibility across weekdays is ideal.
We are ideally seeking someone with experience in allied health or healthcare administration, and experience using Zanda (formerly PowerDiary) is highly desirable. We’re looking for someone who can start as soon as possible.
Key Responsibilities
- Be the welcoming face (and voice) of Evolve—handling incoming calls, emails, and walk-ins
- Schedule appointments and manage client bookings across our systems
- Support clinicians with day-to-day administrative needs
- Prepare intake paperwork, liaise with referrers, and support smooth client onboarding
- Maintain accurate records using Zanda (PowerDiary), Google Workspace and other tools
- Support the wider administrative team and escalate tasks where needed
- Help maintain a calm and professional clinic environment
About You
- Warm, calm and professional demeanour with a strong focus on client care
- Demonstrated experience in administrative roles—ideally within allied health, medical or psychology settings
- High attention to detail and excellent written/verbal communication
- Comfortable with technology and able to learn systems quickly
- Strong organisational and time-management skills
- Emotionally intelligent and able to maintain confidentiality and discretion
Highly Desirable
- Experience using Zanda (PowerDiary)
- Experience in psychology, medical, dental, NDIS, or other healthcare settings
- Understanding of Medicare, MHCPs, and referral processes
What We Offer
- A supportive, values-based workplace with a friendly team
- Ongoing training and support to help you succeed
- Award rates and conditions under the Health Professionals and Support Services Award
- A beautiful, nature-themed clinic in the heart of Cleveland
- Real flexibility and a role that makes a difference in people’s lives
