IT Portfolio Reporting & Governance Analyst
We're seeking an experienced IT Portfolio Reporting & Governance Analyst to join a leading Australian university on an initial six-month contract, supporting portfolio governance, executive reporting, and PMO operations within a complex technology environment.
This is an excellent opportunity to play a key role in portfolio performance reporting, Power BI dashboard development, governance coordination, and data quality improvement, supporting executive decision-making across a large-scale IT portfolio.

THE ROLE:
Working closely with the IT Portfolio Manager, project managers, program leads, and business stakeholders, you will support the delivery of accurate portfolio reporting, governance processes, and continuous improvement initiatives across the IT portfolio.
Key responsibilities include:
• Develop, maintain, validate, and distribute portfolio performance reporting, executive dashboards, and governance reports
• Build, update, and enhance Power BI dashboards and paginated reports to provide accurate portfolio insights
• Analyse and validate portfolio data, including project status updates, risks, issues, milestones, and performance metrics
• Coordinate governance submissions and reporting materials for executive forums, including Capital Investment Advisory Group (CIAG) meetings
• Support monthly portfolio reporting cycles, including status reviews and portfolio performance updates
• Act as a subject matter expert for the Altus PPM system, supporting project setup, stage gate processes, and user access management
• Work with project managers to clarify reporting inputs, improve data quality, and ensure consistent portfolio information
• Support ServiceNow workflows, Microsoft Forms processes, and IT PMO operational requests
• Maintain portfolio governance documentation, templates, procedures, and reporting frameworks
• Identify opportunities to improve reporting processes, dashboard capability, and portfolio visibility
• Assist with onboarding and training project managers on PMO governance processes and portfolio management systems

The organisation’s IT Portfolio Management Office (IT PMO) plays a critical role in ensuring effective portfolio governance, executive reporting, investment oversight, and delivery transparency across major technology initiatives.
SKILLS & EXPERIENCE:
• Strong experience in IT portfolio reporting, PMO reporting, project reporting, or governance support roles
• Demonstrated experience developing and maintaining Power BI dashboards, reports, and data visualisations
• Strong data analysis capability, including preparing, validating, and interpreting data from multiple sources
• Experience producing executive-level reporting, governance packs, and portfolio performance insights
• Understanding of project, program, and portfolio governance frameworks
• Strong Microsoft Excel skills and experience working with structured reporting templates
• Experience engaging with stakeholders to gather, validate, and clarify reporting information
• Ability to manage competing priorities, meet deadlines, and maintain a high level of attention to detail
• Experience with project and portfolio management systems such as Altus PPM, ServiceNow, or similar platforms highly regarded
• Exposure to Microsoft Entra ID security groups and access management processes advantageous
• Experience working within a higher education or complex enterprise environment desirable
• Strong written and verbal communication skills, with the ability to prepare reports for senior leadership audiences
• Experience working within Agile delivery environments and technology portfolios advantageous
