We are seeking a reliable, organised, and professional Reception & Rostering Coordinator to join our client's vibrant team in Geelong. This is a dynamic, front-facing role designed for a skilled administrator who can seamlessly balance front-desk operations with complex workforce scheduling.

- Act as the welcoming first point of contact for clients, families, care workers, and visitors.
- Efficiently manage a high volume of incoming phone calls, addressing inquiries and directing matters appropriately.
- Handle general monthly office duties, including managing post, document destruction (shredding), laminating, and ordering office supplies.
- Coordinate, build, and maintain accurate staff rosters using electronic management systems.
- Match and allocate care workers to shifts based on client needs, worker skills, and availability.
- Communicate shift assignments, last-minute changes, and cancellations clearly and promptly to staff and clients.
- Monitor leave, unexpected absences, and shift coverage to ensure continuity of care for clients.
- Maintain accurate, up-to-date client and staff records in internal databases.
- Complete monthly administrative workflows, such as printing client statements and generating routine operational reports.
- Maintain fast and accurate data entry across Microsoft Office programs.
- Experience: Prior background in healthcare, aged care, home care, hospital, medical centre, or GP clinic administration.
- Technical Skills: Advanced proficiency in Microsoft Office (Word, Excel, Outlook) with fast, accurate typing and data entry skills. Experience with electronic rostering software is highly regarded.
- Communication: Exceptional verbal and written communication skills with a clear, calm, and respectful phone manner.
- Organisation: High-level organizational abilities with a knack for prioritizing tasks in a fast-paced, high-volume environment.
- Attributes: A punctual, honest, approachable, and resilient team player who adapts easily to changing daily demands., * Experience within Medical Reception space
- Knowledge to book in appointments and schedules
- NDIS or aged care or healthcare background is highly desirable
