ADMIN AND EVENTS COORDINATOR - Contractor Role
Location - Gold Coast Preferred
Hours - 5 to 10 hours per month to start
We are opening expressions of interest for a Contractor Admin & Events Coordinator to join our team.
We are looking for a proactive, organised and detail focused Admin and Events Coordinator to join our team as a contractor. This role will support the operational and events side of our coaching business and will grow as our events and service delivery expand through 2025 and 2026.
This is perfect for someone who loves structure, thrives in organised chaos, and brings calm, clarity and efficiency to a fast paced environment.
About the Role:
Starting with 5 to 10 hours per month, this role has the potential to grow significantly as our schedule of in person events, retreats, masterclasses and business operations expands.
You will work closely with the CEO and wider team to ensure smooth coordination of events and back end support across the business. This is a contractor role and requires an ABN.
Key Responsibilities
Event Coordination
• Assist with planning and coordination of workshops, immersions and retreats
• Liaise with venues, suppliers and stakeholders as required
• Manage event guest lists, dietary requirements and communication
• Prepare event materials, schedules, run sheets and logistics
• Provide on the ground support for Gold Coast and Brisbane based events where needed
Business Admin Support
• Calendar and inbox organisation
• CRM updates and client admin tasks
• Preparing documents, files, forms and templates
• Supporting team with operational tasks
• Assisting with launches, internal admin and backend setup where required
What We Are Looking For
• Gold Coast based (required for event support)
• Strong admin or events coordination experience
• Excellent communication and organisational skills
• Confident using digital tools and able to pick up new systems quickly
• A proactive attitude and ability to work autonomously
• A contractor with an ABN
• Availability to increase hours as the business grows to fulltime hours.
Bonus Skills (Not Essential)
• Experience in the coaching or events industry
• Familiarity with tools like ThriveCart, ActiveCampaign, Pabbly, or Canva
