AC Media Productions is a fast-growing premium real estate media company. We’re looking for a highly organised, proactive Operations / Admin Coordinator to take ownership of day-to-day operations, admin, and coordination across the business.
This role is critical. You’ll be trusted with real responsibility, fully integrated into our systems, and given strong growth opportunities if you perform.
What you’ll be responsible for
Admin & Finance Support
- Invoicing and follow-ups
- Payroll support
- Bookkeeping coordination
Systems & Organisation
- Managing tasks, documents, and SOPs in Notion
- Managing bookings and changes in Ubookr
- Keeping systems clean, organised, and up to date
Hiring & HR Support
- Scheduling interviews
- Supporting the hiring process
- Onboarding new staff (checklists, access, documentation)
- HR admin support for hires and exits
Client, Team & Operations Support
- Handling incoming client calls and emails
- Acting as first point of contact for team questions
- Assisting Operations Producers with production support
- Handling issues calmly and escalating when required
Marketing & Community Support
- Assisting with content posting and trial reels
- Engaging with the community (comments and DMs)
- Leaving positive, on-brand comments on relevant accounts
What success looks like
- Leadership is interrupted less with admin or operational issues
- Tasks are completed without chasing
- Systems are organised and reliable
- Clear, proactive communication at all times
About you
- Highly organised and proactive
- Strong communicator (written and verbal)
- Excellent attention to detail
- Experience in operations, admin, or VA support
- Comfortable working independently and owning tasks end-to-end
