Our client, a major Sydney-based non-profit, is about to kick off a significant digital transformation. They are looking for a highly organised Project Coordinator to act as the internal lead for a high-priority Fundraising CRM implementation.
This project involves migrating and optimising donor data into an existing HubSpot ecosystem. While an external specialist agency is leading the technical build, we need a dedicated "internal driver" to ensure the organisation meets its obligations, delivers data on time, and keeps the momentum moving. It's an initial 3-month contract, 2 days per week, offering $400-450/day + Super. Open to hybrid or remote candidates (Aus).
Responsibilities
- Agency Liaison: Act as the primary point of contact for the external implementation agency, ensuring they have everything they need from the internal team.
- Action Management: Rigorously track and manage client-side tasks assigned by the agency, ensuring internal stakeholders provide inputs and approvals on schedule.
- Meeting Coordination: Schedule and facilitate project updates and decision-making sessions between agency partners and internal NFP leaders.
- Escalation & Risk: Proactively identify when internal deliverables are slipping and escalate issues to leadership to keep the 3-month timeline on track.
- Quality Assurance: Ensure a high level of attention to detail regarding data requirements and project documentation.
Your Profile
- Working knowledge of HubSpot is highly desirable or experience with other CRM implementations
- You understand the dynamics of working with an external agency and know how to manage a project from the client side.
- An understanding of donor journeys or fundraising processes is a significant advantage but not essential
- Exceptional time management and stakeholder management skills, keeping stakeholders accountable to deadlines
