To make it happen, we need an exceptional Executive Assistant & Operations Coordinator to be the glue across our business. This isn’t your average EA role. You’ll work side-by-side with founders who have built and sold multiple businesses. You’ll be at the intersection of operations, events, and investor relations - helping us move fast, stay organized, and build something that truly matters.
Right now, the role is part-time (20 hours/week), but it’s designed to grow into full-time as we scale. If you’re hungry to learn, thrive in fast-moving environments, and want a career path with influence and impact, this is the opportunity.
What you’ll do (These are just some examples - the role will evolve as we grow):
• Keep projects, meetings, and deadlines on track - acting as the central point of coordination across the leadership team.
• Manage investor and partner communications, from scheduling to light-touch relationship management.
• Support event organisation and logistics, drawing on EventOps experience to ensure seamless execution.
• Own core admin functions: centralising logins, structuring Google Drive, and managing systems.
• Assist with our Research & Development (R&D;) grant processes.
• Apply AI tools to streamline workflows and multiply efficiency.
What we’re looking for:
• Melbourne-based and available to start week commencing 8th September.
• Confident project manager with strong prioritisation skills.
• Tech-savvy, curious, and eager to learn - especially about how AI is reshaping work.
• Solution-focused, proactive, and comfortable speaking up when priorities shift.
• Background in EventOps or exposure to live event operations is highly valued.
• Solid admin foundation, but thrives wearing multiple hats - from event support to investor relations.
• Comfortable in a fast-paced, mission-driven environment.
