Full Job Description We are seeking a highly organised, proactive and empathetic Executive Assistant join our team full time. As an Executive Assistant you will be responsible for ensuring the smooth operation of the General Manager's office while managing and tracking key facility projects. This role requires a high degree of professionalism, discretion, exceptional planning skills, and a genuine interest in the aged care sector. Key Responsibilities
- Assist the General Manager in defining project scope, goals, and deliverables for facility-based initiatives.
- Develop, maintain, and track detailed project plans, including timelines, milestones, and resource allocation.
- Monitor project progress against set schedules, providing regular and accurate status updates and reports to the General Manager.
- Liaise with department heads and team members to ensure clear communication, assign tasks, and ensure coordination on project activities.
- Proactively identify and flag potential risks, delays, or issues that may impact project outcomes.
- Maintain comprehensive project documentation, from initial briefs to final reports and reviews.

Minimum Qualifications
- Certificate IV or Diploma in Business Administration (advantageous).
- A certification in Project Management highly advantageous
Skills and Experience
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar senior administrative role
- Strong organizational and time-management skills with the ability to handle multiple tasks simultaneously.
- Demonstrable experience in coordinating projects or supporting a project team is essential.
- Advanced proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
- Demonstrated ability to quickly learn and adapt to new software and technology.
- Experience with rostering, clinical management, or project management software (e.g., HumanForce, Trello, MS Project) will be highly regarded
