About the Role
This is a hybrid role that will focus on project coordination across a portfolio of concurrent projects (typically 20-30 at any given time), alongside sales responsibilities including pre-sales support, vendor procurement, and stock management.
Key Responsibilities:
- Maintain project plans, schedules, resourcing, reporting, and key project artefacts including, risks and issues registers
- Manage client and stakeholder communications, including status updates and meeting coordination (agenda, minutes, and follow-up)
- Collect and consolidate weekly status inputs from engineers, track and follow-up on client dependencies, and support accurate reporting for monthly and QBR cycles to reduce PM workload and minimise delivery delays
- Prepare draft scope change documentation within agreed timeframes for PM and SA review and track approved changes whilst updating delivery artefacts accordingly
- Support the sales team by preparing quotes, proposals, contracts, and drafting SOWs, BOMs, and related documentation using approved templates and inputs
- Coordinate procurement activities including purchase order creation, vendor follow-ups, and monitoring order fulfilment, ETAs, and delivery risks
- Manage licensing procurement aligned with SA-approved solutions and ensure timely processing and tracking of requirements
- Contribute to improved project delivery outcomes by ensuring timely coordination, clear communication, and positive feedback from PMs and clients on reporting clarity, consistency, and responsiveness
What You’ll Bring
- 1-2 years of hands-on project coordination experience delivering work to agreed scope, timelines, and outcomes
- Experience within a managed services environment is HIGHLY PREFERRED
- Project management certification or equivalent practical delivery experience
- Exposure to project management frameworks such as PMI / PMBOK, PRINCE2, or Agile methodologies
- Strong ability to plan work, manage risks, and adapt priorities in a fast-paced environment
- Excellent stakeholder coordination and communication skills across the project lifecycle, with the ability to tailor messaging to different audiences
- Highly organised, with strong prioritisation skills and the ability to meet deadlines consistently
- High attention to detail, ensuring accuracy and quality across all deliverables
- Practical problem-solving skills with a focus on identifying issues and proposing workable solutions
- Collaborative team player who contributes positively and works effectively across teams

Location & Work Arrangement:
- Melbourne-based with onsite requirement
- Full-time in-office for the first 6 months, then 3 days in office / 2 days from home
