Bid and Submissions Coordinator | Top Tier Contractor
We are seeking a highly organised and detail-oriented Bid & Submissions Coordinator to join our growing team. In this role, you will play a key part in supporting the preparation and delivery of high-quality tenders, proposals, and capability submissions for major infrastructure, construction, and engineering projects.
Working closely with the bid manager, technical teams, and senior stakeholders, you will coordinate the end-to-end submissions process to ensure proposals are compliant, professionally presented, and submitted on time.
Key Responsibilities
- Coordinate the end-to-end bid and tender submission process, ensuring deadlines and submission requirements are met.
- Assist with the preparation, formatting, and editing of tender documents, proposals, and capability statements.
- Manage bid schedules, action registers, and submission timelines.
- Work closely with technical teams to gather and compile project information, CVs, case studies, and supporting documentation.
- Ensure all submissions comply with client requirements, formatting standards, and governance processes.
- Maintain and update the bid library, including templates, project information, and standard responses.
- Support the development of graphics, presentations, and supporting materials for proposals.
- Coordinate internal reviews and approvals prior to submission.
- Assist with post-submission activities, including document archiving and lessons learned reviews.
About You
- 3+ years’ experience in bids, submissions, proposals, marketing coordination, or project administration.
- Experience within construction, engineering, professional services, or infrastructure sectors is highly regarded.
- Excellent written communication and document editing skills.
- Strong organisational skills with the ability to manage multiple deadlines simultaneously.
- High attention to detail and commitment to producing professional, high-quality documents.
- Proficiency in Microsoft Office (Word, PowerPoint, Excel).
- Experience with Adobe InDesign or proposal management tools is advantageous.
