Contract Administrator

This is a role for someone who loves detail but also sees the bigger picture: getting contracts locked in, obligations clear, and relationships running smoothly. If you thrive on accuracy, communication, and keeping things sharp, this is your kind of gig.
What you’ll do
- Assisting with subcontractor procurement – Sending out tender packages, collecting quotes, and helping evaluate pricing.
- Drafting and issuing contracts or subcontracts – Using templates to prepare and manage simple contract documents.
- Managing contract administration registers – Keeping track of variations, RFIs, payment claims, and approvals.
- Assisting with progress claims and invoices – Reviewing and processing subcontractor claims and supplier invoices for approval.
- Maintaining document control – Organising project folders, drawings, contract documents, and keeping everything up to date.
- Tracking and following up on key deadlines – Helping ensure things like insurances, SWMS, and progress reports are submitted on time.
- Coordinating with site teams and consultants – Helping gather information or documents needed from different stakeholders.
- Preparing simple reports or summaries – Status updates for variations, budgets, or project tracking.
- Supporting project managers – General admin, minutes of meetings, organising files, and helping keep projects running smoothly.
What we’re looking for
- Strong attention to detail – Accuracy is critical when reviewing contracts, variations, and project documents.
- Good communication skills – Both written and verbal; they'll be dealing with suppliers, subcontractors, and project stakeholders.
- Highly organised – Can manage paperwork, deadlines, and follow-ups across multiple projects.
- Proactive attitude – Doesn’t wait to be told what to do; follows things up and stays on top of admin.
- Reliable and punctual – Someone you can count on to be present and consistent.
- Eagerness to learn – Open to feedback and committed to improving their knowledge in construction and contracts.
- Basic computer literacy – Comfortable using Excel, Word, and learning project management systems.
- Professionalism – Understands the importance of confidentiality, presentation, and being a team player.
- Interest in construction or project management – Even without experience, a genuine interest helps them stay engaged.
- Studying or recently completed a relevant course – Construction Management, Business Admin, Engineering, etc.
- Driver’s license and own transport – Helpful if you're working across multiple project sites or offices.
