Senior Administrator | Public Practice Accounting Firm | Melbourne | Full-Time
We are seeking a highly organised and proactive Senior Administrator to join a well-established public practice accounting firm in Melbourne.
This is a fantastic opportunity for someone experienced in public practice administration who is ready to take the next step in their career. Combining traditional administration duties with a strong focus on corporate secretarial responsibilities in this role you will be working closely with a supportive team.
Corporate Secretarial
- Prepare and lodge ASIC forms, annual statements, resolutions, board minutes and statutory returns
- Maintain client corporate registers, member registers, minute books, and statutory records
- Incorporate companies, register business names, and establish discretionary, unit and hybrid trusts
- Process company and director changes (appointments, resignations, name/address updates), share allotments/transfers and company de-registrations
- Conduct company searches and manage corporate database integrity (CAS BGL 360), including generating reports and updating missing information
- Liaise with ASIC and other authorities, and provide advice to clients and internal stakeholders on corporate compliance matters
Administration
- Oversee day-to-day office operations including supplies, catering, meeting rooms and reception duties
- Support and mentor junior administrative staff
- Provide administrative support to accountants including document collation, lodgements, onboarding/offboarding clients, maintaining databases, and managing calendars
- Monitor WIP and assist with invoice preparation
- Manage ATO lodgements (income tax, BAS, payroll tax) and liaise on deferrals, payment plans, and penalty remissions
- Prepare ASIC annual review mail-outs, handle mail, and scan/file secretarial documents
About You
- Prior experience in a similar administration/corporate secretarial role within public practice or professional services (Chartered firm experience highly regarded)
- Thorough knowledge of corporate compliance and regulations
- High level of proficiency in CAS BGL 360, and competent with Microsoft Office and Outlook
- Attention to detail and strong organisational skills
- Able to manage multiple priorities and competing deadlines
- Excellent written and verbal communication skills
