The Regulatory Campaigns & Projects Branch delivers timely targeted regulatory initiatives to promote compliance and continuous improvement amongst NDIS providers to uphold the rights, safety and wellbeing of people with disability. Teams within the branch include Campaigns & Projects, Fraud Fusion Taskforce, High Intensity Responses, Indigenous & Remote Operations, Operational Policy, Practice & Provider Relations, Operational Support & Development, Operational Assessment and Business Improvement & Quality. As the Business Support Officer, you will provide a range of administrative functions to support the branch. Working under the guidance of the Business Manager, this role will assist in facilitating the effective running of business operations by fulfilling numerous support activities, providing assistance to senior executives and other stakeholders. The role includes working closely with stakeholders to support the flow of work and information across the Branch in a high pace operational environment. Providing day to day administrative support to ensure the team is able to operate efficiently and effectively so as to deliver on key priorities and commitments. To succeed in this role, the successful candidate should be well organised, have the ability to manage competing priorities, work independently using their initiative, as well as collaborating effectively. The role requires a high degree of professionalism, judgement, and discretion as well as the ability to exercise flexibility and resilience. Duties may include, but are not limited to, the following:
- provision of administrative support services to facilitate delivery of business operations, completing all tasks within agreed timeframes and to professional standards
- engage with relevant internal and external stakeholders, monitoring and responding to inquiries in group mailboxes in a timely and professional manner
- support the Senior Executive/s diary appointments, coordinate travel arrangements, schedule meetings, prepare agendas and meeting documentation, and provide secretarial support as required
- collect and compile information for, and prepare documentation and correspondence in line with quality and organisational requirements, to support information flow and inform decision making
- complete routine financial transactions and purchasing services, ensuring compliance with agency standards and procedures
- receipt and consider enquiries to the Branch, identify escalation points and responsibilities, to ensure the provision of accurate information
- update and maintain records in commission databases, complying with administrative systems and processes, to ensure that all information is accurate, stored correctly and appropriately accessible.
